Quick answer. A fun run needs about eight messages: a parent letter at kickoff, donation requests families can send by email, text or social post, a sponsor letter, a volunteer call, three short reminders, a total notice for per-lap donors after the event, and a thank-you with receipt wording. Each fun run letter template below is ready to copy; replace the brackets with your details.
Every fun run runs on a handful of messages: the letter that tells families what is happening, the asks that bring in donations and sponsors, the reminders, and the thank-yous that make next year easier. Below is a copy-ready fun run letter for each moment, with a note on when to send it and who should sign. Replace everything in [brackets]. These sit alongside the step-by-step fun run fundraising plan.
Which fun run letter to send, and when
| Message | Send | Signed by | Channel |
|---|---|---|---|
| Family announcement | Kickoff day, about 3 weeks (21 days) out for a school run | PTA/PTO chair and principal | Backpack letter and email |
| Donation request | Kickoff week | The family (template supplied) | Email, text, social |
| Sponsor letter | About 8 weeks out | Sponsorship lead | Delivered in person or email |
| Volunteer recruitment | About 3 weeks out (sign-ups open), again at 2 weeks | Volunteer lead | Email and newsletter |
| Reminders | Mid-campaign, final week, day before | Event chair | Email, text, newsletter |
| Post-event total notice | Within a few days of the run | Treasurer or money lead | Email, or printed note |
| Thank-you and receipt | After payment arrives | Chair, with treasurer details | Email or mail |
| Sponsor thank-you | Within a week of the run | Chair or sponsorship lead | Email or mail |
| Weather change notice | Written in advance; sent when needed | Event chair with principal | Text, email, school app |
| Results note to families | Within a week of the run | PTA/PTO chair | Email and newsletter |
| Community 5K invitation | About 7 weeks out, when registration and online giving open | Event chair | Email, social, posters |
Send each from a shared group address, not a volunteer's personal email, so replies are not lost when roles change.
Fun run parent letter (family announcement)
The most important message of the campaign. Keep it to one page and put the date, the goal and the purpose in the first three lines. Editable versions are free: parent letter in English (Word) and parent letter in Spanish (Word).
Dear [School] Families,
Our [School] Fun Run is on [day, date] at [time] on [location]. Every student will run, jog, walk or roll [laps for X minutes on our loop / a 1-mile route] while we cheer them on. Walking is always welcome.
Our goal is $[amount] for [specific purpose, such as shade over the playground].
How you can help:
1. Ask family and friends to give a flat amount, or a pledge per lap with a cap so donors know the most they will give. Most students finish [low] to [high] laps.
2. Share our online donation link: [link]
3. Return the pledge sheet by [date], even if it is not full.
Students should ask only people they know, with a parent or guardian present.
On run day, please send [child] in running shoes and comfortable clothes with a labeled water bottle and sunscreen. If it is too hot or storms are nearby, we will [move to our backup date, (date) / shorten the run].

Give families these three so they do not have to write their own. Older students can personalize them; for younger children, the parent sends.

Fun run thank you letter and receipt language
Thank every donor, not only large ones. If your group is a 501(c)(3), the IRS requires a written acknowledgment for any single contribution of $250 or more and a disclosure statement when a payment over $75 is partly for goods or services, such as a registration fee that includes a shirt. Sample wording for each case, and who can issue a receipt, are in the fun run taxes and receipts guide.
Dear [Donor name],
Thank you for your gift of $[amount] to the [School/Group] Fun Run, received on [date]. Your support helped [number] students run [total laps or miles] and raise $[total] for [purpose].
[Group legal name] is a tax-exempt organization under section 501(c)(3) of the Internal Revenue Code, EIN [number]. No goods or services were provided in exchange for your contribution.
With thanks,
[Name], [Title]
Use the "no goods or services" sentence only when it is true. If the donor received something, such as a shirt or event entry, use the quid pro quo wording from the taxes guide instead.
Sponsor thank-you letter
Send within a week of the run, with a photo of the banner or shirts if families have agreed to photos. Include the results; it is the sentence sponsors repeat to customers.
Dear [Name],
Thank you for sponsoring the [School/Group] Fun Run at the [level] level. On [date], [number] runners and walkers took part, and together we raised $[total] for [purpose]. Your support covered [what it paid for, such as everyone's water and the sound system], which meant more of every family's gift went straight to [purpose].
Your [logo/name] appeared on [shirts, banner, signs], and we thanked you in our [newsletter/social post] on [date]. [Optional: A photo of the finish banner is attached.]
We would love to have you back next year. We will offer you first choice of your level before [date].
[Acknowledgment details per your treasurer: amount received, date, and a description of any goods or services provided.]
Gratefully,

Frequently asked questions
What should a fun run parent letter include?
The date, time and place; the goal and what it pays for; how families can help with pledges and the online link; the return date for pledge sheets; what to wear and bring; the weather plan; and who to contact. Keep it to one page.
Who should sign the fun run letters?
The family announcement is strongest signed by both the parent group chair and the principal. Sponsor letters come from the sponsorship lead, money notices from the treasurer, and donation requests from the family itself.
When should we send the fun run donation letter?
Send it in kickoff week, about three weeks before the run, so families have two or three weekends to reach relatives. Follow up with a mid-campaign reminder and a final-week reminder.
Do we need to send receipts to every donor?
Thank every donor. For 501(c)(3) groups, a written acknowledgment is required for single gifts of $250 or more, and a disclosure is required for payments over $75 that include goods or services. Many groups send a short receipt for every gift because it is simpler.
Is there a Spanish fun run parent letter?
Yes. The parent letter is available as an editable Word file in English and in Spanish. Send both versions home together so no family has to ask.
