How the calculator works

Every walk-a-thon total comes down to the same four numbers:

Gross = participants × share who fundraise × donors per fundraiser × average gift

Net subtracts the platform and card-processing percentage, then your fixed costs (prizes, shirts, supplies, printing). Goal mode runs the same equation backward: it divides your net goal plus costs by what one active fundraiser nets, then divides by the share who fundraise to get total participants.

Reading the scenarios table

The table shows what three realistic improvements would each be worth: ten more percentage points of participants fundraising, one more donor each, and a $5 higher average gift. Use it to choose tactics. If the participation row is the biggest, put your effort into week-one asks, a reachable first prize and a class participation award. Worked example

A PTA expects 450 students and wants to net $15,000. It assumes 55% fundraise, 4 donors each and a $30 average gift, with 5% fees and $1,200 in costs. One active fundraiser nets 4 × $30 × 0.95 = $114. The goal plus costs is $16,200, so it needs about 142 active fundraisers (the calculator rounds up to 143). At 55%, that's about 259 participants, comfortably under 450. The goal is realistic, and the margin suggests they could aim higher.

How much does a walk-a-thon raise?

There is no reliable single average. Walk-a-thons for similar-sized schools can differ several-fold depending on how many participants actually fundraise, how many donors each reaches, and the average gift. Estimating from your own inputs is more useful than any national figure, which is what this calculator does.

What numbers should I use if this is our first walk-a-thon?

Use your participant count, then try a cautious and an optimistic version of the other three inputs. If you ran a different peer-to-peer fundraiser before (a read-a-thon, a jog-a-thon), its share of participants who fundraised and its average gift are the best starting points you have.

Why does the share who fundraise matter so much?

Because it multiplies everything else. In most walk-a-thons many participants never ask anyone, so moving more of them from zero to a few donors adds more than nudging up the top fundraisers. The scenario table shows this with your own numbers.
