    Set up pledge pages and the volunteer signup

    Order prizes, shirts and supplies

    Finalize the prize ladder and order anything with a lead time.

    Open volunteer signup to core volunteers

    Kickoff: send the parent letter

How the timeline is built

The milestones follow the five phases in our walk-a-thon planning guide: foundation, preparation, launch, event day and follow-up. Pre-event milestones are scheduled backward from your date. When you choose a shorter window, the early milestones compress proportionally while the final week and the follow-up stay fixed, because those steps can't shrink.

Why kickoff lands about five weeks out

Five weeks gives families time to set up pledge pages, a week for first asks, two or three weekly updates and a final push, without the campaign running so long that it loses urgency. If your school needs flyers approved or translated, move the kickoff earlier rather than shortening the fundraising window.

The follow-up is part of the plan

Per-lap pledges aren't money until they're collected, and donors' attention fades quickly after the walk. The four post-event milestones (thank-you, per-lap totals, a reminder and close-out) are where many walk-a-thons lose money.

Frequently asked questions

How far in advance should we plan a walk-a-thon?

About 10–12 weeks for a first-time event and 6–8 weeks for an experienced team. The long poles are volunteer recruitment and fundraising momentum. Kickoff to families works best about five weeks before the walk, which leaves time for weekly updates and a final push.

What if our walk-a-thon is less than eight weeks away?

Choose the 8-week window and the generator will flag any milestones that have already passed. Do those immediately: lock the goal and pledge method, open the volunteer signup, and send the kickoff letter as soon as pledge pages are ready. Shorten the weekly-update cycle rather than skipping the kickoff.

Can I add the timeline to Google Calendar or Outlook?

Yes. Use “Add to calendar (.ics)” to download a calendar file with every milestone as an all-day event. Import it into Google Calendar, Apple Calendar or Outlook, or share it with your committee.
