Kickoff letter to parents

Email / take-home letter · send ~5 weeks before
Subject: [Event Name] is coming — here's how your child can help

Dear [School / Organization] families,

Our [Event Name] is on [Event Date], and this year we're raising [Goal $] for [what the money will fund].

Every student will walk on event day, whether or not they raise money. Here's how to help in three steps:

1. Set up your child's pledge page: [pledge page link] (it takes about five minutes).
2. Send it to five people this week. Grandparents, aunts and uncles, and family friends who live far away are often the most excited to sponsor a walker.
3. Choose a flat donation or a pledge per lap. Per-lap donors can set a maximum so there are no surprises.

Prizes: students who reach the first prize tier earn a reward, and the class with the most students who get at least one sponsor wins a class celebration.

Thank you for helping us reach [Goal $]. Questions? Reply to this email.

What makes these messages work

  • A specific purpose. “New library books” gives donors a picture; “support our school” doesn't.
  • One action per message. Set up the page, or send it to five people, or sign up for a slot. Not all three.
  • Inclusion stated plainly. Saying every student walks, whatever they raise, keeps families who can't give from opting out entirely.
  • Per-lap caps mentioned up front. Donors are more willing to pledge per lap when they know there's a maximum.
  • Short. Most parents read school email on a phone.

For tactics that make these messages land, such as the first-three-days ask and class participation awards, see walk-a-thon fundraising ideas. If your school uses paper pledge sheets, see the pledge sheet guide.

Frequently asked questions

What should a walk-a-thon letter to parents include?

The date, the dollar goal and exactly what it funds, how to set up a pledge page or get a pledge sheet, the prize tiers, and one clear first action, such as sending the link to five people this week. Keep it short enough to read on a phone.

When should we send the walk-a-thon kickoff letter?

About five weeks before the walk for most schools. That leaves a week for first asks, two or three weekly updates and a final push. Send sponsor requests to businesses earlier, around 8 to 10 weeks out, so logos can make it onto shirts.

How do I ask local businesses to sponsor a walk-a-thon?

Offer specific, visible options at a few price points (shirt logos, a sponsored lap, a sign at the water station) plus in-kind options like water or prizes. Send a short letter, follow up in person or by phone a week later, and thank sponsors publicly.

Can I use these templates for a church, team or nonprofit walk?

Yes. Replace the school wording with your congregation, team or organization. The structure (goal, purpose, link, one clear action) works for any walk-a-thon.
