Color run planning timeline
Pick your event date and planning window. Steps before the event land on weekdays. Nothing you enter is saved or sent.
This timeline turns a color run into dated steps. It is built around the three things that make a color run harder to schedule than a walk-a-thon: written approval for powder, a powder order that has to arrive on time, and a weather call that depends on wind as much as rain. Choose the options your event includes, and the plan adds or drops steps to match.
How the dates are set
- Every step has a target number of days before the event. Written approval comes first, about eight weeks out on the recommended plan and ten weeks out when you give yourself ten weeks or more.
- Steps before the event move to the weekday on or before their target, because principals, facilities staff and suppliers mostly work weekdays.
- Short windows compress. Choose fewer than eight weeks and every pre-event step moves proportionally closer to the event. The timeline warns you below six weeks.
- After-event steps land on the first weekday on or after their target: the giving deadline 7 days after the event, thank-you notes 10 days after, and reconciling deposits and the debrief 14 days after.
- Weekend events set up the day before, whatever day that is.
The plan also flags steps that already fall before today, summer dates that need an earlier start and a heat cutoff, and weekend dates where custodial staff may not be on site unless you arrange it.
Why eight weeks is the recommended window
Eight weeks leaves room for the slow steps. Written approval from the principal or venue owner and facilities can take two weeks. Powder quotes, Safety Data Sheets and an order with a delivery date take another two. Families need the letter and powder notice about four weeks before the event so health questions reach the nurse in time. Six weeks can work for a small or repeat event. A first community event with a park permit or registration needs ten to twelve.
| Window | Good for | Watch for |
|---|---|---|
| Under 6 weeks | Below our six-week minimum. Only a repeat event with last year's written approvals and the same supplier | Powder delivery and volunteer recruiting overlap |
| 6 weeks | A small school or youth group event on its own grounds | Little slack if approval takes longer than a week |
| 8 weeks | Most school-day color runs | Holidays inside the window |
| 10–12 weeks | Community events, park permits, entry fees, shirts | Momentum: keep the committee meeting |
| 16 weeks | Large community events, events needing a city permit and deposit | Plan two promotion pushes, not one |
What the plan includes
The default plan has 21 steps in six phases (22 with sponsors, which are on by default): decide, recruit, prepare, promote, event day, and after. The ones organizers most often leave too late are written powder approval, the cleanup standard agreed with facilities, the private powder-free request, the volunteer briefing and the weather call time. The step-by-step color run plan explains each decision in order, and the printable planning checklist puts the same steps on one page.
Sponsors, registration and shirts add their own steps. Turn them on with the checkboxes. Sponsor requests go out about six weeks before the event, registration opens about nine weeks out with a sign-up checkpoint just before the powder order, and shirts are ordered with the powder so sizes collected at registration still arrive in time.
Calendar, copy and print
- Add to calendar (.ics) downloads one all-day calendar entry per step, titled with your event name. It opens in Google Calendar, Outlook and Apple Calendar.
- Copy as text puts a dated list on your clipboard for an email or a committee document.
- Print prints the plan alone, without the rest of the page.
Nothing you enter is saved or sent. School holidays and district closures are not built in, so check each date against your calendar. Planning a walking event instead? The walk-a-thon timeline generator does the same for events without powder, and the walk-a-thon planning hub covers the rest.
Frequently asked questions
When should we order color powder?
The timeline puts the powder order about five weeks before the event, after you have written approval, two quotes and the supplier's Safety Data Sheet. Ordering earlier is fine once approval is in hand. One supplier warns that spring dates sell out, so a March or April event may need an earlier order. Ask each supplier for a delivery date in writing.
When do we make the rain call?
The plan schedules a forecast check three days before the event. That is when you set the hour you will make the go, delay or rain-date decision and how families will hear about it. Then make the decision at that hour, early enough that volunteers and families hear it before they leave home. Strong wind can stop a color run even on a dry day.
Does the timeline know our school holidays?
No. It moves steps off weekends, but it does not know your district calendar, testing windows or breaks. Check each date, especially the family letter, the kickoff and the giving deadline. If a step lands on a closed day, move it to the school day before.
