A color run budget is mostly a list of things you buy per person or per station, plus cleanup. This worksheet starts with the lines most groups need, every one at $0, so nothing on screen is mistaken for a quote. Enter your quotes, or press "Load example numbers" to see how a finished budget for a 400-participant school event reads.
How the worksheet calculates
- Each line has a basis. "Per participant" multiplies your quantity by participants. "Per station" multiplies by color stations. "Per volunteer" multiplies by volunteers. "Each" and "Total" use the quantity as entered.
- Line total = quantity × unit cost.
- Subtotal = all line totals. Contingency = subtotal × your contingency percentage (10% by default). Total budget = subtotal + contingency.
- Cost per participant = total ÷ participants.
- Covered by sponsors = sponsorships you apply to costs ÷ total.
- Break-even entry fee = (total − sponsorships) ÷ paid registrations. It appears once you enter paid registrations.
Change participants, stations or volunteers at the top and every scaled line updates. That is the quickest way to see what inviting siblings, adding a station or recruiting more volunteers would cost.
The labeled example
Example For 400 participants, four stations and 44 volunteers, the example unit costs add up to a subtotal of $2,455 and a total of $2,700.50, about $2,700, with 10% contingency, or about $6.75 per participant. The largest lines are powder ($880, budgeted for about 203 lb), eye protection for every participant ($300), recognition ($232) and custodial or facilities time ($200). These are illustrative unit costs, not quotes or market prices. Replace every one.
For powder, our price check of four sellers on October 20, 2026 found bags of 5 lb or more listed between about $3.20 and $6.40 a pound depending on quantity. The example's $880 for about 203 lb works out to about $4.33 a pound, inside that range. Shipping, tax and the color mix you choose all move the real number.
What belongs on the budget

| Color and supplies | Powder, squeeze bottles or scoops, bins | Tarps under each station |
| Safety and first aid | Water and cups, first aid refills | Eyewash bottles, volunteer masks and eye protection |
| Course and signage | Cones, flags, station signs | A sign marking the powder-free route |
| Shirts and participant items | White shirts, if you provide them | Extra sizes and a delivery buffer |
| Recognition and prizes | Class or group recognition | The celebration itself |
| Printing and promotion | Flyers, pledge sheets, family notices | Station cards and signs for volunteers |
| Venue, permits and insurance | Permit or rental, if any | An insurance rider or a cleanup deposit |
| Cleanup | Brooms, dustpans, trash bags | Custodial or facilities overtime |
The color run cost guide explains what drives each line up or down and shows what documented events have published about their own costs.
Using the result
- Fundraising estimate. Split the total into the per-participant part and the fixed part and enter both in the color run fundraising calculator to see the net.
- Sponsor target. The total is a clear sponsor ask: "Sponsors cover our costs, so every family gift goes to the playground."
- Entry fee. For community events, the break-even fee is the floor. Price above it only if you want entry fees to raise money as well as cover costs.
- Powder quantity. The course and station planner estimates pounds needed from your stations and laps. Use it before you get powder quotes.

Frequently asked questions
How much contingency should we add?
Ten percent is a sensible default for a first color run. Prices for powder and shirts change, deliveries run late, and forgotten items appear in the last week. Groups repeating an event with last year's actual costs in hand can go lower. If anything in your budget is still an estimate rather than a quote, keep the contingency at 10% or more.
Should we provide eye protection for every participant?
That is a decision for your safety lead and nurse. Many groups ask families to send sunglasses and keep a box of spares at check-in, which costs less than buying a pair for everyone. Volunteers who apply powder all day should have eye protection either way. Both choices fit in the worksheet: set the per-participant quantity to 1, or to the share you expect to need spares.
Why are all the lines at $0 when I open the worksheet?
So no example number gets mistaken for a real price. A filled-in budget looks finished, and a committee that sees one may skip getting quotes. Press "Load example numbers" to see the labeled example for a 400-participant school event, then replace each unit cost with what your suppliers quote you.
Can we save the worksheet and come back later?
No. The worksheet stores nothing, by design. Download the CSV, which opens in any spreadsheet app, or use the budget and tracking workbook, which has the same lines with formulas and can be saved and shared with your committee.
