How it works: Enter your enrollment, families, goal, weeks until you need the money, reliable volunteers and upfront budget, then tick what matters to your school. The finder ranks seven main fundraising formats and four add-ons. It flags any format you can't staff or plan in time, and compares your goal per student with what schools have actually reported for each format. The participation figure only changes the per-family amount shown, not the ranking.

Loading the fundraiser finder. If it doesn't appear, the rules it uses are listed below.

How the finder decides

Each format starts at the same score and moves up or down for six reasons. Nothing is hidden, and you can check every rule below against your own experience.

  1. Can you staff it?

If you have fewer reliable volunteers than the format needs, it is marked "Not a fit right now" and the gap is shown.

  2. Is there time?

If the weeks until you need the money are fewer than the format's usual planning time, it is marked the same way.

  3. Can you cover the upfront costs?

Formats whose usual costs exceed your upfront budget lose points.

  4. Is your goal realistic for this format?

Your goal per enrolled student is compared with what schools have reported for that format (table below). "Families' capacity to give" decides which end of the range applies. The reported ranges are amounts raised (gross), while the goal you enter is what the school needs to keep, so leave room for costs; this matters most for company-run events, where the same pledge range is applied even though the school keeps only about 56% (the midpoint of the 35% to 53% cost range in published PTA budgets).

  5. Does it match what your school cares about?

Each preference you tick adds points to formats that fit it and removes points from formats that conflict, most heavily for selling when you've asked for none.

  6. How much of each dollar stays?

A small adjustment favors formats that keep more of what families give.

The results it compares against

Per-student ranges come from the published results in our 2026 review of 117 US school fundraisers, where every figure is linked to its school document. Where no reliable benchmark exists, the finder says so instead of guessing.

FormatWhat schools reported (per enrolled student)How the finder uses it
Walk-a-thon, fun run or other pledge eventEstablished public-school events typically $34 to $71, median $47; first-year and lower-income schools often under $30; private schools median $179Limited capacity: realistic up to $25, stretch to $47. Mixed: realistic to $47, stretch to $71. Higher: realistic to $71, stretch to $179
Read-a-thonUses the same pledge model; no separate benchmark in the reviewSame bands as pledge events, which come from walk-a-thons and fun runs. The result card does not repeat this, so read a read-a-thon rating with that in mind
Direct donation driveAbout $4 to $111 across the direct-give campaigns reviewedBands within that range: limited $10 to $30, mixed $30 to $60, higher $60 to $111. These cut points are our judgment
Carnival, spirit nightsFrom a loss to about $16 netRarely realistic as the main fundraiser above $16 per student
Product saleCosts rarely published; one PTO kept about $7,000 of $16,000 soldNo per-student rating. Shows the sales needed at a 40% margin
Auction or galaLarge totals reported, but no published costsNo per-student rating

Rules of thumb it uses

Volunteer counts, planning weeks and upfront costs are typical planning figures, not measurements. Your own experience should override them.

FormatReliable volunteersPlanning weeksTypical upfront costShare kept
Direct donation drive34$50About 97%
Walk-a-thon or fun run, run by volunteers8, or 1 per 60 students8$300About 93%
Read-a-thon46$150About 95%
Pledge event run by a company48$0About 56%
Product sale6, or 2 per 100 families6$0About 40%
Carnival or fall festival20, or 1 per 20 families12$1,500About 60%, varies widely
Auction or gala1520$750About 75%, varies widely

Share kept reflects the report's published budgets where they exist (company-run events 35% to 53% in costs, in-house walks about 3% to 10%) and typical product margins otherwise. Add-ons (sponsorships, employer matching, restaurant nights and grants) are scored the same way but shown separately, because they work best alongside a main fundraiser.

After you have a shortlist

Put real quotes into the fundraiser profit calculator, set the goal with the goal calculator, and follow the 12-week planning guide. If a pledge event comes out on top, the walk-a-thon guide shows how to run one in-house. Every format the finder ranks is covered in the school fundraising guide.

Frequently asked questions

Is the finder free to use?

Yes. It runs entirely in your browser, needs no account, and nothing you type is sent anywhere. Link to it from your PTA or school website, or print the results with your browser's print command to share at a board meeting.

Why does my top choice say the goal is a stretch?

Your goal per student is above the middle of what schools typically report for that format with your community's capacity to give. That doesn't make the goal impossible, but it usually means adding sponsors or matching gifts, raising participation, or phasing the project over two fundraisers.

Why isn't a company-run fun run ranked higher when it raises more?

Company-run events often gross more per student, but published PTA budgets show 35% to 53% of gross going to costs, so after costs the results look similar to in-house events. The finder gives a small bonus to formats that keep more of each dollar and weighs heavily the volunteers and weeks you have. If you have very few volunteers, a company-run event will rise in the ranking. Its goal rating uses gross pledge results, so check its net in the profit calculator.
